hi everyone...
just installed SWS and making my way around it nicely... its been a lot of years since we had our workshop and garage open to the public and at that time i was still in school..
i was curious as to if anyone had any examples to share for the T&C templates and Document templates etc.. i mean, what do the larger workshops issue compared to the smaller ones? i'd appreciate any and all examples and help..

For account customers i have the sort of standard terms and conditions
" payments to be made within 30 days"
i also have some banking details for account customers that wish to pay by b.a.c.s.
On standard customer invoices they are to be paid on collection of vehicle, so i dont really need any payment terms on them, apart form maybe credit card payments will incur a surcharge.
I do have specific terms and conditions for corrosion repairs i.e. RUST, but that probably would not intrest you, unless you are carrying out body repairs.
I have my web site printed on the footer of the invoice.

i started off with the general T&C as you have stated which is nice and simple.. its just a matter of time and useage really to give a better idea of what would should be telling our customers. The payment times etc are a given really, its the document templates that are the bug barer.. with enough jobs done though i guess i'll see a pattern to the descriptions being presented and work from there

Ahh i see i when you said template i thought you ment an overall invoice template. i.e. blank invoice type template.
Yes this reflects entirely on the amount of repetitive work you do.with enough jobs done though i guess i'll see a pattern to the descriptions
Adding job's to the pre-defined labour Manager is very easy.
My first line on most invoices is just a simple one button click
"Carry out repairs as per estimate......Your Ref XYZ"
The labour manager has certainly helped me on typing that tedious line of txt lol

Hi we have possibly a thousand labour descriptions for just about every conceivable job we do with a standard time included and the parts description also. A job that requires it also has the approrpriate advise attached so you dont forget to include them. This is all broken down into 22 job catorgories this is the best part of GA3 and makes it so easy for the office to make up a job or estimate almost instantly. the times can be adjusted to suit the job e.g the tech found a seized or broken bolt or the time for doing the job is not appropriate, but we have gone for times that are average and up to the office operator to adjust accordingly.
I have carefully listed in each catogory the first word of the job in the appropriate alphabetical order to assist in finding the right job and when the job is inserted in the invoice the first few wordings act as the job title which are boldened & underlined so the customer can understand and see exactly what has been carried out in terms of repair. Also when the job has multiple jobs done each job is defined by its title. Our customers love it and trust us more for clear understanable job descriptions. I hope this helps you in your efforts to make up job descriptions. I dont know if Steve can do it but you would be welcome to a copy of our job description if he can transfer it into your copy of GA3.
It would not be a bad idea if these forums had a place that we could share our job/ labour descriptions and see how others describe the same jobs? Maybe one for the future.

Well, what can I say... that's a really cool idea !
Whilst not possible in GA yet (without my help) I can make it so specific sections can be exported, containing non sensitive information for sharing... Likewise, an import / clear function for bringing these files in.
I think it would be a great benefit to existing and new customers alike...

Hi Steve, dont know how much work this will involve for you, but it would be good to see how others set out their jobs. We were used to having set standard jobs in our old system but GA3 has such a better way of Categorizing & searching for specific jobs we could'nt survive without it. For someone migrating to GA3 or their first crack at a computerised data base this area can be a daunting task and we do need to be clear about describing jobs as well as covering our backs with the advisory section.
Having a data base here on this site to import and export to would be most helpful.
